General Terms and Conditions for Ticket Sales (Applicable to All Events)

  1. Acceptance of Terms: By purchasing a ticket, the buyer agrees to these terms and conditions, as well as any additional event-specific rules and regulations provided by the organizer.

  2. Ticket Validity:

    • Tickets are valid only for the date, time, and event specified.
    • Resale or transfer of tickets is not permitted unless explicitly authorized by the organizer.
  3. Admission Rules:

    • Attendees must present a valid ticket for entry.
    • The organizer reserves the right to refuse admission or eject attendees for behavior deemed inappropriate or in violation of event rules.
  4. Event Changes:

    • The organizer reserves the right to change the event schedule, venue, or lineup without prior notice.
    • In case of cancellation, postponement, or significant changes, refund policies will be communicated.
  5. Age Restrictions:

    • Certain events may have age restrictions. It is the buyer’s responsibility to confirm age eligibility before purchasing tickets.
    • Proof of age (ID) may be required for entry.
  6. Prohibited Items:

    • Attendees are prohibited from bringing weapons, illegal substances, or other items deemed unsafe by the organizer or venue.
    • The organizer reserves the right to search attendees and their belongings upon entry.
  7. Conduct and Safety:

    • Attendees must adhere to all safety guidelines and instructions from event staff or security.
    • Any behavior disrupting the event or jeopardizing the safety of others may result in removal from the venue.
  8. Health and Safety:

    • Adherence to current health protocols (e.g., Covid-19 precautions) is mandatory.
    • Attendees acknowledge they are in good health and not knowingly exposing others to illness.
  9. Photography and Media:

    • By attending, attendees consent to being photographed, filmed, or recorded, with materials potentially used for promotional purposes by the organizer.
    • Use of personal recording devices may be restricted depending on the event.
  10. Liability:

    • The organizer is not liable for injury, loss, or damage to personal property during the event, except in cases of gross negligence.
    • Attendance is at the attendee’s own risk.
  11. Force Majeure:

    • The organizer is not responsible for cancellations or changes due to unforeseen circumstances, including but not limited to extreme weather, natural disasters, or government regulations.
  12. Refund Policy:

    • Refunds will only be issued in the event of cancellation, as determined by the organizer. Service fees may not be refundable.
    • No refunds will be provided for late arrivals, no-shows, or voluntary exits.
  13. Additional Terms for Non-Sport Events:

    • Specific events may have unique terms and conditions (e.g., seating arrangements, dress codes). Such details will be outlined during ticket purchase.
    • For conferences, workshops, or educational events, organizers may restrict the use of recording devices and require prior registration.
  14. Accessibility:

    • The organizer strives to provide accommodations for attendees with disabilities. Attendees requiring assistance should notify the organizer in advance.
  15. Dispute Resolution:

    • Any disputes arising from ticket sales or event participation will be governed by South African law and handled through mediation or arbitration as appropriate.
  16. Event Organizer’s Rights:

    • The organizer reserves the right to amend these terms and conditions at any time. Updated terms will be communicated as necessary.

This section applies universally to all types of events, ensuring transparency and a clear understanding of the responsibilities of both the ticket holder and the organizer.

Applicable to Running Races:

REFEREES’ DECISION IS FINAL
Obey all Traffic Officials and Race Marshals.
The race will be run according to the rules of ASA, WA & AMPU House rules.
Any Foreign athlete will be subject to World Athletics Rule 4.2 and must provide a clearance permit from their home federation in order to participate in the event. Such permit must be presented to the organisers
No seconding will be allowed. No pacing of any kind.
Ages: Athletes for 10km must be 14 years or older on the day of the race.
Athletes for 21.1km must be 16 years or older on the day of the race
Proof of age (ID) to be produced upon request on day of race.
Junior winners need to provide Birth certificate with fixed ID photo attached on the birth certificate
By entering this event, all athletes declare that they run at their own risk and indemnify the organizer/sponsor of any responsibility for injuries or losses
ASA Registered athletes must wear full registered club colors on race day.
Both 2026 license numbers must be worn one on the front and one on back of the vest.
If a race bib is issued it must be worn on the front of the vest over the ASA license, but must not cover the ASA logo and Province name.
Temporary license must be worn at the front on the vest. When a race bib is issued it must be worn at the back of the vest and the race bib in front of the vest
Remember to complete the Temporary license tear off slip immediately and hand it back to the organizer.
Age category ID tags must be clearly displayed for the duration of the event (back and front) by athletes competing for a category prize AND must be fixed on all 4 corners and not be covered by rain jacket or any shirt.
Do not covered ASA Logo & province logo at the top of the license number with any paper race numbers /race bib.
Category winners must be present at the prize giving ceremony or make prior arrangements to collect the award, failing to do so the athlete will forfeit his/her prize money
No littering, please make use of waste boxes on the route – RUN CLEAN
All participates must take note that photographs might be taken at the event and placed on social media.
The use of earphones during the race will lead to disqualification.

By entering I agree:

“I declare that I participate in this event at my own risk and indemnify the organizers/sponsors against any injuries or loss. Athletes who are using medication to treat an illness or condition that falls under the prohibited list should complete a Therapeutic Use Exemption (TUE) before entering the event and obtain authorization from SAIDS to take the necessary medicine or method.”
